How to Move Attendees Between Sessions, Blocks, or Subscriptions

You can move one or more attendees to a different session, block, or subscription — within the same activity or to a different one. This article walks through all three move types, what to expect on screen at each step, and what happens automatically once a move is confirmed.

There are three types of attendee moves you can make:

  1. Session to session — move one or more attendees from one session to another, within the same activity or a different one.
  2. Block to block — move one attendee from one block of sessions to another, within the same activity or a different one. (Only one attendee at a time — multiple attendees cannot be moved between blocks in a single action.)
  3. Subscription to subscription — move one or more attendees from one subscription to another, within the same activity or a different one.

All three moves start the same way from the Register:

1. Click Register on the left-hand navigation

2. Find the session, date and attendee you want to move the attendee from

3. Click More at the top of the register → select Move an attendee → select the attendee(s) you want to move → click Move.

 


1. Move an attendee to a different session

  • Start the move as described above.
  • Choose where you're moving the attendee to:
    • A different session within the same activity, or
    • A different session in a different activity — use the activity search to find it.
  • Select the schedule, date, and time of the new session.
  • Review the move before confirming.

When you confirm the move:

  • Capacity is returned to the original session and deducted from the new session.
  • If booking questions are switched on and the new activity has different questions, the booking questions email is resent so you can collect up-to-date information.
  • The attendee is updated in both the register and the bookings page.
  • The customer receives an email confirming their attendee has been moved.

2. Move an attendee to a different block

Note: Only one attendee can be moved between blocks at a time.

  • Start the move as described above.
  • If the attendee is booked onto a block, you'll be asked whether to move this session only or all remaining sessions.
  • Choose where you're moving the attendee to:
    • A different session within the same activity, or
    • A different session in a different activity — use the activity search to find it.
    If you chose to move all remaining sessions, only block-bookable activities will appear in the matching activities list.
  • Select the activity, then the schedule, date, and time of the new session.
  • Review the move before confirming.

When you confirm the move:

  • Capacity is returned to the original session and deducted from the new session.
  • If booking questions are switched on and the new activity has different questions, the booking questions email is resent so you can collect up-to-date information.
  • The attendee is updated in both the register and the bookings page.
  • The customer receives an email confirming their attendee has been moved.

3. Move an attendee to a different subscription

  • Start the move as described above.
  • Choose where you're moving the attendee(s) to:
    • A different class within the same subscription, or
    • A different class in a different subscription — use the activity search to find it.
    Only subscription activities will appear in the matching activities list.
  • Select the activity, then the date, time, and ticket of the new subscription.
  • Review the move before confirming. Note: Pebble does not automatically process any price difference between subscriptions — you'll need to handle this manually (see below).

When you confirm the move:

  • Capacity is returned to the original session and deducted from the new session.
  • If booking questions are switched on and the new activity has different questions, the booking questions email is resent so you can collect up-to-date information.
  • The attendee is updated in both the register and the bookings page.
  • The customer's next payment falls on the 1st of the following month.

After the move — handling price differences

Single attendee moved: The confirmation screen shows the ticket the customer has been moved to.

  • Moved to a more expensive subscription/ticket → invoice the customer directly from this screen.
  • Moved to a cheaper subscription/ticket → refund the difference via the bookings page.

Multiple attendees moved: The confirmation screen shows which moves succeeded and which failed.

  • If a move fails, try again. If it keeps failing, contact support.
  • Moved to a more expensive subscription/ticket → invoice each customer from the individual attendee's booking.
  • Moved to a cheaper subscription/ticket → refund the difference via the bookings page.

Moving restrictions:

  • You cannot move to or from an activity in the past
  • FREE Subscriptions cannot be moved
  • You cannot move to a Subscription activity with a deferred start date
